When choosing a managed IT provider, a community bank should look for proof, not promises: documented response times, a clear list of what's included and excluded, a defined backup review procedure, and real answers to examiner scenarios.
When a community bank evaluates a managed IT provider, don't start by asking whether the MSP offers help desk, cybersecurity, backups, or compliance support.
Most providers will say yes.
Instead, ask them to prove how those services actually work.
Can you reach a human when something goes wrong? What is specifically included — and excluded — from your agreement? If an examiner asks for a report you've never requested before, will the MSP produce it or send you an additional bill? Who actually reviews backup failures?
At Tomorrow's Technology Today, where we've supported community banks since 2011, we review our service-level agreement (SLA) performance every week and course-correct when needed. Depending on the service level purchased, response requirements can be within one hour, and our average response time to date has been approximately 20 minutes.
Those are the types of specifics a community bank should expect when comparing MSPs.
Here are five areas we recommend investigating.
1. Ask for Proof That Someone Will Actually Answer the Phone
Almost every MSP will tell you it provides great customer service.
That's not enough.
Ask:
"What proof do you have that someone will answer when we call?"
Find out how the provider measures response performance and how often management reviews those numbers.
At Tomorrow's Technology Today, we track SLA performance weekly. If we're not where we need to be, we course-correct.
We also answer our phones live.
Internally, we describe our approach as having a backup to a backup to a backup in case the "house is on fire."
The important part for the bank is simple:
You talk to a human.
That principle continues after normal business hours.
Our after-hours process works much like a doctor's office answering service. A human answering service receives the call, tracks down the on-call technician, and gets that technician to return the call.
Depending on the service level the client purchases, the required response can be within one hour. Our average response time to date has been approximately 20 minutes.
When comparing MSPs, don't settle for:
"We provide excellent support."
Ask:
- Do you answer the phone live?
- What happens after hours?
- Who receives an emergency call?
- How does that person reach the technician?
- What happens if the first person doesn't respond?
- What is your contractual response commitment?
- What is your actual average response time?
- How often does management review SLA performance?
The difference is promise versus proof. The same applies to how a provider would bring your bank on board — see what a structured transition should look like.
2. Understand Exactly What's Included — and What's Not
One of the most important parts of an MSP agreement may be what isn't included.
Community banks should spend time investigating the gray areas before signing a contract.
Imagine an examiner asks:
"Show me who remotely accessed this server on XX/XX/XXXX."
Your MSP hasn't been providing that particular report each month.
What happens now?
Can the provider produce the evidence?
Is the necessary information being retained?
Does generating the requested report fall within your existing agreement?
Or will the MSP tell you:
"We can do that, but it's going to cost extra."
Those are questions to ask before you're sitting across from an examiner waiting for an answer.
Don't simply ask:
"Do you provide compliance reporting?"
Go deeper.
Ask what reports are included, how often they're generated, what information is retained, and what happens when the bank needs documentation that isn't part of the standard reporting package.
The gray areas are where assumptions become expensive. See how to keep that evidence ready all year rather than scrambling when examiners arrive.
3. Test the MSP With Real Examination Scenarios
Instead of asking broad questions about banking compliance, give prospective MSPs specific scenarios.
For example:
"An examiner wants proof of everyone who remotely accessed a particular server on a specific date. Show me how you would answer that request."
Then listen carefully.
A provider with community-bank experience should be able to explain the process rather than simply tell you, "Yes, we can handle that."
Here's what that looks like in practice. When state examiners asked two of our community-bank clients whether a newly disclosed vulnerability in a widely used MSP management platform affected them, we responded in 22 minutes. By the next morning, each bank had written confirmation that our environment was already running the patched version before the incident, along with an open case with the vendor for official documentation — which we then provided as part of our follow-up. The banks didn't have to chase anyone.
Try other scenarios relevant to your bank:
- We need historical vulnerability-management documentation. Where is it?
- We need evidence related to backups. What can you provide?
- We need documentation of remote sessions. How far back can you go?
- We need to understand when a vulnerability was identified and what happened afterward. Where is that recorded?
You're not trying to trick the MSP.
You're trying to discover how its service works before you depend on it.
Community-bank IT has too many gray areas to evaluate a provider based entirely on a sales presentation.
4. Don't Ask Whether They Have Backups — Ask Who Reviews Them
"Do you provide backups?"
That's an easy question.
The more important question is:
"What is your backup review procedure?"
Buying backup software isn't the same thing as having a reliable backup process.
Alerts need to be monitored.
Failures need to be investigated.
Problems need to be escalated.
Someone needs to be responsible for determining whether backups are actually operating as expected.
Consider the consequence of discovering that a backup problem went unnoticed and the bank has potentially lost 29 days of recoverable data because nobody was watching the alerts.
That's not primarily a question about which backup product the MSP purchased.
It's a question about operational procedure.
Ask the prospective provider:
- Who reviews backup alerts?
- How often are they reviewed?
- What happens when a backup fails?
- Who receives the alert?
- When does a failed backup get escalated?
- How is the issue documented?
- How does the bank know the problem was resolved?
- What procedures are used to confirm the bank can recover the data it expects to recover?
A technology tool can generate an alert.
A process determines whether someone does something about it.
5. Look for Repeatable Processes Behind the Technology
This principle extends beyond backups.
Community banks shouldn't simply evaluate the MSP's technology stack.
Evaluate the processes behind the technology.
How does the provider manage vulnerabilities?
How does it document remote access?
How does it review permissions?
How does it respond to backup alerts?
How does it measure help-desk performance?
How does it onboard a new bank?
How does it maintain recurring compliance documentation?
A list of services on a proposal isn't the point.
The question is:
What repeatable process sits behind each service?
That's where a bank can begin separating an MSP's marketing claims from its operational capabilities.
The "Gray Area" Test for an MSP
Before selecting a provider, take several situations that don't fit neatly into a sales proposal and ask how the MSP would handle them.
For example:
Scenario 1: After-Hours Emergency
It's after hours and the bank has a serious IT problem.
Who answers? Who contacts the technician? What's the expected response time? What happens if the first technician isn't available?
Scenario 2: Unexpected Examiner Request
An examiner requests historical remote-access information that isn't part of your normal monthly reporting.
Can the MSP produce it? How long will it take? Is it included in your agreement?
Scenario 3: Backup Failure
The backup platform generates an alert.
Who sees it? Who acts on it? Who verifies the problem was resolved? How will the bank know?
If the MSP can't clearly explain what happens in these scenarios, you've identified an area that deserves further investigation.
What Should Be Included in Community-Bank Managed IT?
Price matters, but price without scope can be misleading. For pricing ranges and what drives them, see How Much Does Managed IT Cost for a 25–100 Employee Community Bank in Ohio?
Our community-bank service model can include:
- Endpoint protection and patch management
- Endpoint Detection and Response (EDR)
- Managed Detection and Response (MDR)
- 24×7×365 Security Operations Center monitoring
- Web content filtering
- Permission control services
- Server management
- Immutable backup
- Firewall management and maintenance
- Monthly compliance reporting
- Vulnerability management
When comparing proposals, don't simply compare one provider's per-user number against another.
Put the scopes side by side.
Then ask: What's missing?
A less expensive proposal isn't less expensive if important services are excluded and repeatedly billed as additional projects.
Why Community-Bank Experience Matters
Tomorrow's Technology Today has served the community banking industry since 2011.
Our team includes Microsoft-certified, SonicWall-certified, and Dell-certified engineers.
Our banking experience comes from years of supporting community-bank environments and working alongside our clients through audits and regulatory examinations.
That experience has taught us that the difficult questions aren't always the obvious ones.
The obvious question is: "Do you provide backups?"
The better question is: "Walk me through exactly what happens when tonight's backup fails."
The obvious question is: "Do you provide compliance reporting?"
The better question is: "An examiner just requested remote-access evidence from a specific date. Show me how you would produce it and tell me whether that's included in our agreement."
The obvious question is: "Do you have good customer service?"
The better question is: "Show me your SLA performance and explain what happens when I call after hours."
Don't Buy the Promise. Verify the Process.
A community bank shouldn't choose an MSP based entirely on a list of tools, certifications, or promises made during a sales presentation.
Ask for proof.
Find the exclusions.
Explore the gray areas.
Test real-world scenarios.
Understand the processes behind critical services such as backups, cybersecurity, remote access, compliance documentation, and help-desk response.
And don't be afraid to keep asking:
"What happens next?"
That's often the question that exposes whether you're buying a well-defined managed service — or simply assuming you're getting one.
