For a community bank with 25–100 employees in Ohio, comprehensive managed IT services typically cost $225–$325 per user per month based on Tomorrow's Technology Today's service model. A 50-user community bank, for example, would budget approximately $11,250–$16,250 per month.
Where a bank falls within that range depends largely on the complexity of its environment. A community bank with fewer locations and servers will generally be closer to $225 per user, while banks with more locations, servers, and infrastructure to manage will move toward the higher end of the range.
But price per user doesn't tell the whole story. Community banks should also look closely at what is included in that monthly cost — particularly cybersecurity, compliance reporting, backup, vulnerability management, and ongoing infrastructure management.
1. Start With the Number of Users
The first step in estimating managed IT costs is straightforward: determine how many users the IT provider will be responsible for supporting and protecting.
Using a range of $225–$325 per user per month, approximate monthly costs would look like this:
| Employees/Users | Approximate Monthly Range |
|---|---|
| 25 | $5,625–$8,125 |
| 50 | $11,250–$16,250 |
| 75 | $16,875–$24,375 |
| 100 | $22,500–$32,500 |
These numbers are useful for initial budgeting, but user count alone doesn't determine the final cost.
Two 50-employee community banks can have very different IT environments. One might operate from a single location with relatively few servers, while another has multiple locations and significantly more infrastructure to secure, monitor, back up, patch, and maintain.
That difference matters.
2. Understand What's Included in the Per-User Price
When comparing managed IT providers, community banks shouldn't compare price per user without comparing the services included in that price. See 6 Questions Smart Companies Ask Their IT Provider Every Quarter for more on what to ask before you compare quotes.
Tomorrow's Technology Today's community-bank managed IT services in the $225–$325 per-user range can include:
- Endpoint protection
- Patch management
- Endpoint Detection and Response (EDR)
- Managed Detection and Response (MDR)
- 24×7×365 Security Operations Center (SOC) monitoring
- Web content filtering
- Permission control services
- Server management
- Immutable backup
- Firewall management and maintenance
- Monthly compliance reporting
- Vulnerability management
This distinction is important because a lower per-user quote isn't necessarily less expensive if important security, backup, compliance, or management services must be purchased separately.
Ask each provider to document exactly what its monthly price includes.
3. Factor in the Complexity of the Bank's Environment
For community banks, the managed IT price should reflect the environment the provider is actually responsible for managing.
At Tomorrow's Technology Today, a bank with fewer servers and fewer locations will generally fall closer to the $225-per-user end of the range.
As the number of locations, servers, and infrastructure requirements increases, pricing can move toward $325 per user.
That's why asking, "What's your price per user?" isn't enough.
A better question is:
"What characteristics of our environment determine where we fall within your pricing range?"
The MSP should be able to explain that clearly.
4. Consider the Compliance Work Behind the Technology
Community-bank IT isn't simply about keeping computers running.
Banks need recurring evidence showing that important technology and security functions are being managed. Over years of working with community banks, we've found that individual bank requirements vary, but there is a common backbone of recurring documentation.
That can include areas such as:
- Vulnerability management
- Backup reporting
- Remote-session documentation
- Monthly compliance reporting
The goal is to build this evidence throughout the year rather than trying to reconstruct it when auditors or examiners arrive.
That ongoing work needs to be considered when comparing the cost of an MSP serving a community bank with the cost of a general-purpose IT provider. See Compliance Gaps Costing You Thousands for where this work is most often underscoped.
5. Look Beyond the Monthly Price to the Quality of the Transition
A bank should also understand what happens after it signs an agreement.
Changing MSPs isn't simply a matter of redirecting the help-desk phone number.
Communication is critical at the beginning of the relationship. Tomorrow's Technology Today currently uses a structured 91-step onboarding process designed to get a new client documented and equipped with the appropriate tools for ongoing management.
A real community-bank engagement illustrates why that process matters.
During one anonymous community-bank onboarding, our team completed more than 70 individual onboarding tasks over approximately 10 weeks. The work uncovered an environment that included outdated endpoint protection, undocumented remote-access tools, administrator permissions that needed review, and network documentation that didn't accurately represent the environment.
The engagement included replacing legacy antivirus with centrally managed EDR backed by 24/7 monitoring, reviewing administrator accounts, inventorying remote-access software, and documenting the firewall, switches, Group Policy, hardware, and installed software.
The compliance review also examined nearly 100 historical work entries and identified close to 40 hours of legitimate recurring compliance support that had previously never been formally scoped.
Client-identifying details have been intentionally omitted.
Why Community Banks Work With Tomorrow's Technology Today
Tomorrow's Technology Today has been serving the community banking industry since 2011. That experience has given our team years of firsthand exposure to the technology, cybersecurity, documentation, and recurring compliance demands community banks face.
Our technical team includes Microsoft-certified engineers, SonicWall-certified engineers, and Dell-certified engineers.
We don't claim a banking certification we don't hold. Instead, our banking experience comes from working alongside community-bank clients through years of audits, helping maintain the technology documentation and recurring reporting those environments require.
That distinction matters. Certifications demonstrate technical competency, while years of supporting actual community banks provide practical experience with what happens when auditors arrive and the bank needs to produce evidence of its IT and security practices.
What Should a Community Bank Budget for Managed IT?
For an Ohio community bank with 25–100 employees, a practical starting point for budgeting is $225–$325 per user per month for the comprehensive managed IT service model described above.
For example:
25 users: $5,625–$8,125/month
50 users: $11,250–$16,250/month
75 users: $16,875–$24,375/month
100 users: $22,500–$32,500/month
Banks with fewer servers and locations will generally be closer to the lower end. More complex environments can move toward the upper end.
But don't choose an MSP based solely on which provider produces the lowest per-user number.
Ask what cybersecurity tools are included. Ask who monitors those tools after hours. Ask how backups and vulnerabilities are managed. Ask what compliance reporting you'll receive. And ask how the provider will document your environment during onboarding.
For a community bank, those answers can matter far more than a small difference in monthly price.
