For a law firm with 5 to 25 people, fully managed IT from Tomorrow's Technology Today costs $200 to $350 per user per month. Our Gold plan starts at $200 per user. Where a firm lands in that range depends on the service level it chooses and how complex its systems are.
A "user" is anyone at the firm with a full Microsoft 365 license, such as Business Premium. Here's what that looks like at three common firm sizes:
- 5-person firm: $1,000 to $1,750 per month ($12,000 to $21,000 per year)
- 12-person firm: $2,400 to $4,200 per month ($28,800 to $50,400 per year)
- 25-person firm: $5,000 to $8,750 per month ($60,000 to $105,000 per year)
We publish these numbers because "it depends" isn't an answer you can budget with. Below is exactly what's included, what moves a firm up or down the range, and what costs extra.
What's Included at That Price
"Comprehensive IT support" means nothing until someone lists what it covers. Every Tomorrow's Technology Today plan includes:
- A live technician on the phone from 7am to 5pm on business days. After hours, an answering service tracks down a technician.
- A guaranteed response time for critical issues: 120 minutes on Gold, and 60 minutes on Platinum and Titanium, during business hours.
- Security monitoring by a human-staffed security operations center watching your firewall, computers, Microsoft 365, and servers.
- Security awareness training, including simulated phishing tests and short training modules for your staff.
- Microsoft 365 backup for every firm we support.
- A full restore test of every backup every other week, with a screenshot of the restored system as proof the backup actually works.
- Automated patching. Updates go to a test group first and roll out after a 3-day hold. Critical security patches go out immediately.
- Technology planning and budgeting reviews, included rather than sold as an add-on.
- Great Start onboarding, about 10 weeks, with a dedicated project manager and technician.
- The first hour of vendor support, for example working with your practice management software's tech support.
- No charge for a technician's drive time back from an onsite visit.
4 Factors That Move a Law Firm's Price Within the Range
1. Service level
Gold, Platinum, or Titanium. The plan sets how quickly we respond to critical issues: 120 minutes on Gold, 60 minutes on Platinum and Titanium.
2. An office server or NAS, or none
A firm that still keeps client files on a server or network storage device in the office has more to maintain than one working entirely in Microsoft 365. Many small firms can retire that hardware altogether.
3. Practice management and document management software
How many applications the firm runs, and whether each one has a current vendor maintenance agreement, affects how much support it needs.
4. Locations and remote work
A single office is simpler than a main office plus attorneys working from court, home, or a second location.
What Costs Extra
We don't surprise-bill. Projects such as a server replacement or a cloud migration are quoted at a flat rate, not billed by the hour. These items fall outside the monthly agreement:
- Home computers, personal devices, and home networks we didn't set up
- Software whose vendor maintenance agreement has lapsed, or equipment the vendor no longer supports
- Damage from misuse, theft, fire, water, or power events
- Training classes
- Writing your firm's own procedures and documentation
How to Compare Law Firm IT Quotes Fairly
Two quotes with the same per-user price can cover very different things. Ask every provider these 6 questions:
- What's the guaranteed response time for a critical issue, and is it in writing?
- Who answers the phone during business hours: a technician, or a ticket queue?
- How often are backups restore-tested, and what proof do we get?
- Are security monitoring and staff training included, or extra?
- What's billed outside the monthly fee?
- What's the contract term, and what happens if you don't perform?
A low quote that leaves out security or backup testing isn't cheaper. It's smaller. If a provider won't put anything in writing, read why "nothing to sign" is a red flag.
Why It's Worth It for a Law Firm
A law firm's IT problems carry consequences other businesses don't face. A system outage the morning of a filing deadline isn't just lost productivity. And protecting client information is a professional duty: Ohio Rule of Professional Conduct 1.6(c) requires lawyers to make reasonable efforts to prevent unauthorized disclosure of, or access to, client information.
Monitoring, tested backups, trained staff, and a provider who answers the phone are how a small firm meets that standard without hiring its own IT department. If you're weighing that option, see how to manage in-house IT support.
A Real Client Example: Retiring Old Hardware Instead of Replacing It
The problem: A 3-person law office in West Central Ohio kept everything on an old NAS. Client files were scattered across devices, and nothing was reachable outside the office.
The solution: Instead of buying new storage hardware, the firm moved its files to organized cloud storage with secure remote access, quoted as a flat-rate project.
The result: The NAS was retired, so there was no replacement hardware to buy. The firm's data is now protected in immutable backup, meaning backup copies that can't be altered or deleted, even by ransomware. Attorneys reach client files from anywhere.
